1. Who we are

Betan Ltd, trading as Betan Solutions ("Betan", "we", "us"), is the controller of the personal information described in this policy. We are registered in England and Wales under company number 15538322. Our registered office is Unit 23, Normanton Business Park, Ripley Drive, Normanton, WF6 1QT.

2. Information we collect

Website information

If you accept analytics cookies, Google Analytics collects information about how the website is used. This can include pages visited, interactions, referral source, approximate location, device and browser information, and cookie identifiers. We do not use Google Analytics to collect names, email addresses or calculator enquiry details.

Calculator and enquiry information

When you submit a calculator enquiry, we collect the name, company, email address and telephone number you provide, together with project details, notes, opening schedules, specifications, calculator outputs and a calculator reference. Our form provider and its spam-protection services may also process the date and time of submission, IP address, email address and basic browser information to deliver the form and prevent spam or abuse.

The calculator may use storage in your browser to save your work on your device. This is needed to provide the save feature you use, and nothing stored this way is sent to us unless you submit an enquiry. You can remove it by clearing the site data in your browser.

Customer and correspondence information

If we provide a quotation or supply products or services, we may also hold correspondence, delivery and site contact details, order information, invoices, account records, product specifications and supply records.

Information we receive from others

If someone else gives us your details, for example a colleague, client or main contractor naming you as a site, delivery or project contact, we use them only for the purposes described in this policy.

We do not ask for sensitive personal information, and you should not enter information such as health details in calculator notes or enquiry fields.

3. How we use your information

Providing the contact details requested by the calculator is necessary if you want us to reply to your enquiry or prepare a quotation. We do not make decisions about you using solely automated means.

We do not send marketing emails to people who submit calculator enquiries unless you ask us to. If you do sign up to receive product updates, you can unsubscribe at any time using the link in each email or by contacting us.

4. Who we share information with

We do not sell personal information. Where necessary for the purposes above, we may share it with:

• Web3Forms, which receives calculator submissions and forwards them to us, and the spam-protection services it uses;
• Google, which provides Google Sheets and, where you consent, Google Analytics;
• our email, website hosting, development and technical support providers;
• a nominated web developer acting under our instructions, who may receive copies of calculator submissions during trial periods and while updates to the website, calculator or forms are being implemented, solely to test and confirm that they work correctly;
• structural engineers where a project requires a design check;
• delivery partners where an order must be delivered;
• professional advisers such as accountants, lawyers and insurers; and
• regulators, courts or public authorities where disclosure is required by law.

Service providers processing information for us must handle it securely and in accordance with their contracts. Other recipients, such as professional advisers or public authorities, may handle information as independent controllers under their own legal obligations.

5. International transfers

Some providers may store or process information outside the UK. For example, Web3Forms operates from India using cloud infrastructure in several regions, and Google may process information in the United States and other countries. Where required, we use UK adequacy regulations or approved contractual safeguards, such as the UK International Data Transfer Agreement or the UK Addendum to the EU Standard Contractual Clauses. 6. How long we keep information

We keep traceability records to the minimum needed, such as company, project, product and specification details, and do not retain individual contact details there unless they are needed to identify the supply.

We review the information we hold at least once a year and delete or anonymise records that have passed their retention period. Deleted information may remain in routine back-ups until it is overwritten during the normal back-up cycle. If a back-up is restored, deletion controls are reapplied so expired information is not returned to normal use. Aggregated analytics reports that no longer identify individual visitors may be kept for longer.

7. Cookies and Google Analytics

Google Analytics is not loaded unless you accept analytics cookies. We use it to understand how people use the website and to improve its content. Google Signals, advertising storage, advertising user data and advertising personalisation are disabled. We do not use the analytics information for targeted advertising.

You can accept or decline analytics cookies when first visiting the website. You can change your choice at any time using Cookie settings. Withdrawing consent stops future analytics collection and removes the Google Analytics cookies that we can access from this website.

8. Security

We use encrypted connections and restrict access to personal information to people who need it. We require appropriate account security and take reasonable technical and organisational steps to protect information against loss, misuse and unauthorised access.

9. Your rights

Depending on the circumstances, you may have the right to ask us for a copy of your personal information, correct it, delete it, restrict its use, or transfer information you provided to another organisation. You may also withdraw consent at any time where processing relies on consent.

You have the right to object to processing based on our legitimate interests and to any use of your information for direct marketing.

To exercise a right, contact info@betan-solutions.co.uk. There is normally no charge, and we will respond within one month. If we need to confirm your identity or ask you to clarify your request, the time limit starts once we have that information. We will tell you if a complex request requires additional time.

10. Complaints

If you are unhappy with how we have handled your information, contact us using the details in section 1. We will acknowledge a data protection complaint within 30 days, investigate it and communicate the outcome without undue delay.

11. Changes to this policy

We will update this policy when our use of personal information, service providers or retention periods changes. The date at the top shows when it was last updated.
